Use one of the following Add Documents options to upload documents to Owners, guests, Vendors, or Sources. A document must be stored on the user's computer or network (floppy disk, CD, hard drive, server) before it can be uploaded to the HomeRentals.net Control Panel.

a.) Assign To: Select a client name from the drop down select list or type the first part of their PROMAS ID in the auto-lookup field, or choose All Owners (Guests, Vendors, Sources) to upload the same document for all clients.
b.) Browse the computer for a document and then double-click on it to select it for upload. The user may need to select "All Files" from the "Files of Type" select list in the computer's document folder window (Figure 35c). Make sure that the document's filename does not contain any special symbols characters (#, $, %, etc.). Clients will not be able to open files with special symbols and characters in the filename - the link will be corrupted.
c.) The system automatically assigns the Document Name based on the document's filename, but the user can change this before saving. Assign a Subject and Description so that the client can locate and identify the document in their online filing cabinet. Clients are able to search their online document file by keyword(s) The search function looks for keywords in the Name, Subject, and Description fields.
d.) The Replace Existing Documents option is marked by default. When this is marked, the system automatically replaces an existing online document, as long as both the old and the new document have the same filename and file type. Unmark this option to add the document as a new file instead of replacing an existing online document.
The system permits upload of any type of file: word processing documents (.doc, .wpd, .pdf), spreadsheets (.xls), text documents (.txt), graphic files (.jpg, .gif), executable program files (.exe), etc. However, the same program (Word, Word Perfect, Publisher, etc.) must be installed on the client's computer in order for them to open and view the file. It is preferable to convert the source document to a highly compatible file type, like PDF or TIF. Using one of these file types as a standard document format will ensure that most clients will be able to view their online documents. If a client does not have a PDF reader installed on their computer, they can download a free reader from Adobe.com.
